Understanding Task Permissions in Adit

Task permissions determine who can view, edit, and interact with tasks in the Task Module. Depending on whether a task is private, part of a project, or shared across teams, access levels will differ.

This article explains the different permission types, how private vs. project tasks work, and what happens with subtasks.

Task Accessibility Rules

Key Permission Scenarios

Private Tasks

  • Only collaborators on that task can view or edit it.

  • If you remove someone as a collaborator, they will immediately lose access.

Tasks in a Project

  • If a task is added to a project, all project members gain access.

  • Example : A billing project where all billing team members can see and manage related tasks.

Subtasks and Visibility

  • If you assign a subtask to someone not added as a collaborator on the parent task, they will:

    • See only the subtask.

    • Not see the parent task (it will display as Private Task).

Note: Always add subtask assignees as collaborators on the parent task if you want them to see the full context.

Deleted Users and Task Ownership

  • If a user is removed from the system, their tasks will automatically be organized in a project

  • If a user is deleted, a new task will automatically be created with a link to the associated project. This task will be assigned to the staff member who performed the deletion, so they can review the project details and decide how to handle the deleted user’s tasks. 

Step-by-Step Instructions: Adjusting Task Permissions

  1. Open the Task you want to review.

  2. Check Collaborators - visible in the task details sidebar.

  3. To add/remove collaborators:

    • Click the “+ Add Collaborator” button.

    • Select or remove users as needed.

  4. If the task is in a project, check the project’s privacy settings to confirm who else has access.

  5. For subtasks:

    • Add the subtask assignee as a collaborator on the main task if visibility of the parent is required.
