Creating Tasks in Adit

The Tasks Module in Adit helps practices organize work, assign responsibilities, and track progress in real time. Think of it as your team’s digital to-do list - integrated
with patient and project workflows.

Accessing the Tasks Module

  1. Login to your Adit Dashboard.

  2. From the left navigation bar, click Tasks.

    • You’ll see two main tabs:

      • My Tasks - shows tasks assigned to you.

      • Projects - shows group projects and related tasks.

Creating a Task

  1. Click + Add Task at the top of the page.

  2. In the task panel:

    • Enter Task Name - e.g., “Call Patient John Doe re: Insurance Claim.”

    • Select Assignee - choose who will be assigned this task

    • Set Due Date - pick from the calendar.

    • Link a Patient - associate a task with a specific patient if relevant

    • Assign to Project - place it under an existing project if needed

    • Add Description - details, context, or instructions.

    • Attach Files - upload documents or images

    • Create a Subtask - break the work into smaller items

    • Copy Task Link - share the task directly.

    • Expand to Full Screen - enlarge the task window.

    • More Options (⋮) - Add to Project, Create Follow-up Task, Merge Duplicates, Print, or Delete.

  3. Once a task is assigned, it will appear under “Recently Assigned” for the user.

Subtasks

Use Subtasks when a larger task needs smaller steps.

  • Example: Task = “Submit Insurance Report.” 

    • Subtasks = “Collect Claim Data,” “Verify Codes,” “Send to Payer.”

  • Each subtask can have its own assignee and due date.

Creating Follow-up Tasks

You can create follow-up tasks in two ways, depending on the purpose:

From Engage (Patient Messaging)

  1. While messaging a patient, click Create Task.

  2. A new task will automatically be created and assigned to you.

  3. The task will be linked to the specific patient/message so you can follow up on reminders or requests.

From Within a Task

  1. Open the task.

  2. Click More Options (⋮) > Create Follow-up Task.

  3. A new task will automatically be created and assigned to you.

  4. The follow-up task will include a link back to the original task.

Merging Duplicate Tasks

When there are multiple tasks created for the same purpose, you can merge them into one.

  1. Open a task.

  2. Click More Options (⋮) > Merge Duplicate Tasks.

  3. Search for and select the duplicate.

  4. The system will merge collaborators, comments, and details into the master task.

    • The duplicate task will be marked [Duplicate] and completed.

Collaborators and Notifications

  • Add Collaborators (+)

  • Collaborators can:

    • Comment on tasks.

    • View updates in All Activity.

    • Get notifications when the task is updated.

  • To stop receiving updates, click Leave Task. Keep in mind that if you are a collaborator without access to the overall project, leaving the task may also remove your access to it entirely.

Sections and Task Homepage

  • Tasks automatically appear under Recently Assigned.

  • You can move tasks to other sections by dragging and dropping 

  • Add new sections with + Add Section.

  • Default sections (Recently Assigned, Do Today, Next Week, Do Later) cannot be deleted. Tasks assigned to you will automatically appear in the “Recently Assigned” section, and any task with a due date will automatically move into “Do Today” when the due date matches the current date.

Filters, Search & Table Settings

  • Use Search to find tasks quickly.

  • Apply Filters to view tasks by due date, assignee, or status.

  • Customize your view using Table Settings (adjust columns, fields, etc.).

Completing Tasks

  • Mark a task Complete when done.

  • Completed tasks are not deleted - you can always re-open them..

Task Permissions

  • If a task is private (not in a project), only collaborators can view it.

  • If a task is added to a Project, all users in that project can view it.

  • Subtask permissions: If a subtask is assigned to someone not on the main task, they will only see the subtask, not the parent task.
