How to Enable Family Appointment Reminders

Family members who have appointments scheduled on the same day and share the same mobile number can receive one single family reminder instead of multiple messages for each person. 


To Enable Family Reminders 


  1. Navigate to the Engage module.

  2. In the top navigation menu, hover over Auto-Reminders and select Appointment Reminders.  If you don’t see this option in the menu, click the three dots to view the rest of the menu options.

  3. Click on +Add to create a new reminder or the blue pencil icon to edit an existing reminder 

  4. Fill out the reminder settings - to learn more about how to set up an appointment reminder, Click Here

  5. Scroll down to “Family Reminders” and enable the toggle On

  6. After enabling, the screen will refresh and show two tabs where you can set up your messages templates for:

    1. Individual Reminders

    2. Family Reminders

  7. When setting up your family message template, you have the following placeholders you can use in your messages:

    1. Patient First Names

      1. this lists out all the first names of the patients in the family reminder

    2. Patient Preferred Names

      1. this lists out all the first names of the patients in the family reminder

    3. Patient Full Names

      1. this lists out the first and last names of the patients in the family reminder

    4. Location Name

    5. Org Name

    6. Appointment Date

      1. This lists out the date of the appointment 

    7. First Appt Time

      1. This lists the earliest appointment time for the family reminder

    8. Appt Times

      1. This lists out all of the appointment times for the family reminder

    9. Direction URL

  8. At any point in time, you can check the message preview to see an example of how your family reminder will look like. 

How do Family Reminders Work?
 

  1. A family appointment will send only if patients share the same mobile number and have an appointment scheduled on the same day.  

  2. A family reminder will trigger based on the earliest appointment in the family for that day 

  3. If family members have appointments on the same day, but have different mobile numbers on file, then those patients will receive individual reminders

How do Appointment Confirmations Work for Family Reminders?


  1. If the number that received the family reminder responds with a “C”, all appointments within that family group will be considered “Confirmed”

  2. Any additional “C” responses will confirm any future unconfirmed appointments within the next 31 days.
