CRM - Migration Logic

During CRM migration, existing records from the Patients module will be analyzed and automatically assigned to the appropriate CRM category based on their source, activity history, and relationship with the practice.

Migration Logic Summary

Patient

Records will remain as Patients when they exist in the EHR/PMS and represent actual patient records.

Lead

Records will be migrated as Leads when they represent prospective patients who:

  • Were identified through Call Tracking

  • Originated from Patient Forms

  • Originated from Practice Analytics

  • Originated from the Patient Module but never became EHR patients

  • Have engagement history or actions indicating patient interest but are not EHR patients

Unrecognized Contact

Records will be migrated as Unrecognized Contacts when:

  • They originated from SMS conversations or Call Tracking

  • No meaningful actions have been performed

  • There is insufficient information to determine whether they are a Patient, Lead, or Contact
