Bulk Quick Text

Bulk Quick Text requires Practice Analytics. If you wish to use this feature but your package does not include Practice Analytics, please contact our team to upgrade!

Bulk Quick texts are a smooth and efficient way to send Review Requests, Appointment Reminders, Patient Forms, and more to multiple patients at once.

In your Practice Analytics module, go to the Patient Lists tab in the top navigation menu.  Select an existing Patient List by clicking on the name of the list, or create a new list.  Within the list, select the patients to whom you would like to send your Bulk Text by checking the box beside each patient, or checking the box at the top of the list to select all.  Next, click on the Actions dropdown above the list and select which type of Bulk Quick Text you would like to send.

Below you will find some common scenarios where a practice may wish to send a Bulk Text, along with the steps to send each available type of Bulk Quick Text.

Bulk Review Requests
Scenario: You want to send a review request to all your patients who completed an appointment within the last week. You can create a patient list that filters the following: active patients, last completed appointment within the last week. From that list you can then send out a bulk review request.
  1. Set up your patient list filters and select your patients you would like to send a review request to. 

  2. In the actions dropdown, select review request

  3. Confirm how you want the text message and email to be written.


  4. Select Send,


Bulk Appointment Requests

Scenario: You want to increase your bookings for cleanings and look for all patients who don’t have a future hygiene appointment scheduled. You can create a patient list with the following filters: active patient, next hygiene appointment date is empty, and hygiene due date is within the next 6 months. From that list you can then send out an appointment request for patients to book their next hygiene cleaning.


  1. Set up your patient list filters and select your patients you would like to send an appointment request to. 

  2. In the actions dropdown, select appointment request

  3. Confirm how you want the text message and email to be written.

  4. Next, you will pre-fill any information for the appointment request.

  2. Once you select Send, the bulk appointment request will be sent out to the patients. 


Bulk Appointment Reminders

Scenario: Your practice was just closed for a week due to the holidays and now you want to send an appointment reminder to all patients who have an upcoming appointment within the next three days. You can create a patient list with the following filters: active patient, next appointment is between (date 1) and (date 2). Once that list is created you can send the bulk appointment reminder.

  1. Set up your patient list filters and select your patients you would like to send an appointment reminder to. 

Please note that the patient must have an upcoming appointment on file in order to get a reminder.

  1. In the actions dropdown, select appointment reminders

  2. Confirm how you want the text message and email to be written

  3. Once you select Send, the bulk appointment reminder will be sent out to the patient. 



Bulk Recall Reminders

Scenario: You want to send a recall reminder to all patients who have an overdue recall due date from the last 2 months. Your patient list will have the following filters: active patients, recall due date age = 62 days

  1. Set up your patient list filters and select your patients you would like to send a recall reminder to. 

Please note that the patient must have an existing recall due date in order to get a reminder.

  1. In the actions dropdown, select recall reminders

  2. Confirm how you want the text message and email to be written

  3. Once you select Send, the bulk recall reminder will be sent out to the patient.



Bulk Form Requests 

Scenario: Your practice just created a consent form for patients who need a tooth extraction. 

You can create a patient list that pulls all patients who are active, and have a scheduled extraction within the next 30 days. Once that list is populated you can request them to fill out the tooth extraction consent form.

  1. Set up your patient list filters and select your patients you would like to send a form request to. 

  2. In the actions dropdown, select form request

  3. Confirm how you want the text message and email to be written

  4. Select which forms you want to assign (maximum 5).


  5. Once you select send, your patients will then receive a link to all of their required forms. A record in patient forms will also be made. 


Bulk Pay Requests 

Scenario: It’s the end of the week and now you want to send an adit pay request to all of your patients who had an appointment this past week and still have an outstanding EHR balance. 

You can go to patient lists and set up the following filters:  Active Patient, EHR Balance greater than $100, and their last completed appointment was within this last week. 


  1. Set up your patient list filters and select your patients you would like to send a payment request to.

  2. In the Actions dropdown, select Payment Request

  1. Confirm how you want the text message and email to be written and then select send

  1. Next, confirm what payment amounts will be for each patient.

  1. EHR Balance shows the outstanding balance from the EHR

  2. Existing adit pay balance shows the open adit pay amount

  3. New Adit Pay Balance will be the amount that you are requesting the patient to pay. 

    1. You can choose to have it match the patient’s EHR balance

    2. Or select your own custom amount by entering in the number here

5. Once you select confirm, the bulk payment request will be sent out to the patient and an adit pay record will be created in the module.
