Set Up Your Call Flow (Call Tree)

How to Set Up Your Call Flow

The call flow allows you to do the following:

  • Select which phones in your office should ring and when

  • Establish your office schedule for inbound calls

  • Play a greeting when patients call you

  • Play a voicemail greeting for when you are not available

  • Route calls intelligently based on the options your patients select in the call tree

  • And so much more! 

Numbers Overview:

Our system provides two types of phone numbers under each account:

  • Landline Number – Used for regular inbound and outbound voice calls.

  • Fax Number – Dedicated for sending and receiving faxes.

Every account comes with one complimentary landline number and one complimentary fax number. These numbers are included at no additional cost and are automatically assigned when the account is created.

Instructions

  1. Navigate to where your call flows are located: 


 Click on the Settings gear icon at the top right corner of your Adit platform.

  1. Select Phone System Under the Voice menu.

  1. Click on the Location name you want to set up the Call Flow for .


  1. Next, decide if you’d like to record inbound calls to this number by toggling Records Calls ON or OFF. 

  1. Next click, click on the icon next to “Insert Step here”

  2. You will see a list of 6 options to set up. The 6 options represent all of the different types of steps you can establish in your call flow. 

  1. Greeting: Here you can play a greeting (audio file)

  2. Ring: can ring one phone line or an external number

  3. Simulring: can ring multiple phone lines or multiple external numbers

  4. Schedule: branch out your call flow based on the time of the day and day of the week

  5. Menu: segment callers into different flows based on a menu item selection. Ex: Press 1 for “New Patients”, Press 2 for “Existing Patients”. 

  6. Voicemail: play a voicemail greeting (audio file)

  1. You can continue to add steps in your call flow based on what best fits your needs. Once you are done, don’t forget to press the “Update” button at the top of the screen.
     

  2. To record your own greeting or voicemail please follow one of the two options below:

    1. Option 1: Record a greeting on the web platform

      1. Go to Settings 

  1. Go to Audio Library under Voice Menu

  2. Click Record Your Own

  3. Name your recording

  4. Click on the Start Recording 

  5. Use your computer microphone to record a greeting. 

  6. Click Upload

  1. Option 2: Record a greeting on the Adit Mobile App (iOS or Android)

    1. Go to Settings

    2. Go to Audio Library 

    3. Click the record button

    4. To start recording, click the microphone icon 

    5. Name your recording

    6. Click Upload
