How To: Manually Verify a Patient's Insurance

If you have Adit’s Insurance Verification service, our team will verify your patients for you based on the preferences you set. However, we know there are times when you may need or want to verify a patient yourself!
We strongly recommend that you use Adit’s Verifications dashboard even if you verify your patients manually. This ensures that our system will select the right type of verification or re-verification on that patient’s future visits.

To manually verify a patient, start in the RCM module on the Verifications page.
Locate the patient you need to verify. You can make this easier by using the date filter, sorting by appointment date or trigger date, or by searching for the patient by name.


Once you locate the patient, check the Verification Status column. You can not manually verify a patient if the status is Verified or Canceled; all other statuses will allow you to take action. Click on the status to view what options are available.
  1. If you clicked on a status of Open or Not Verified, select Verify Patient and click Next.
  2. If you clicked on a status of Rejected or Failed, select “I verified this patient” and click Next.
A form will open on the screen. Some sections will be auto-filled with either your practice information or the patient’s information from their patient file. Sections that are grey are locked; if there is blue Edit pencil icon available in the top right corner of the section, you can click it and may be able to edit certain fields in that section. You can also collapse sections to make the rest of the form easier to navigate by clicking the small orange arrow in the top right corner of each section.


The primary sections you will need to fill in are the Policy Details, Plan Information, and the list of treatment codes. Any field with a white background is one you can fill in; simply click in the field and either select from the available options (if it’s a drop-down field) or start typing (if it’s a text entry field).


The copy and paste icons on the right side of the screen give you a quick shortcut to fill out the information for each treatment code. Click the copy icon to copy all of the fields in that row (except the treatment code), and then click the paste icon in another row to paste the copied fields into that row.

In the Comment section at the bottom of the form, be sure to check the box to indicate how you verified this patient and then add any comments or notes at the very bottom. Your name and the date will be logged on the record automatically when you submit the form.


Once you have completed all of the information needed for this verification, click the Submit button, then confirm your submission.

Now that you have manually verified this patient, the Verification Status will update automatically to Verified, followed by your initials in parentheses.
Note: Your name and initials automatically associated to a verification are the name and initials of the Adit user account you are logged in to when you fill out and submit the verification form.
