How A Patient's Recall Due Date is Calculated in Adit Using Tracker

Practices using Tracker as their EHR can manage their patient recalls by setting “Pending Appointments”. Pending appointments are appointments that need to be scheduled for a patient, and are set on a calendar to serve as reminders for the practice to bring that patient in. 


In order to determine the recall due date in Adit’s patient card: 

  1. Adit will first check that patient’s next pending appointment in Tracker. 

  2. If there is a pending appointment scheduled, then we will use the original appointment due date listed. 

    1. Important Note: Every time a pending appointment is rescheduled, Adit will not be able to find the updated date because Tracker will only provide the original appointment date. Because of this, we recommend to delete the current pending appointment in Tracker and enter a new pending appointment with the updated date instead. This will then correctly update the due date in the patient card. 

  3. Adit will first check the patient’s next scheduled pending appointment in Tracker and look up the original date on that appointment. 

  4. If there isn’t a pending appointment found for that patient, then Adit will next check the interval set up on the patient tab. If there is an interval set up, then Adit will calculate the due date by adding that number to the patient’s last completed appointment. 

  5. If the patient doesn’t have an upcoming pending appointment, or a recall interval set up, then by default Adit will add 6 months to the last completed hygiene appointment.
