Guide to Adit's Integration with Cloud-based EHRs

Adit’s integration with cloud EHRs uses a browser extension for Google Chrome. This extension allows us to sync your patient and appointment information into the Adit platform, where you can then use our all-in-one solution to manage your practice, communicate with patients, and more!

In order for the integration to pick up your actions in your EHR and sync them to Adit, everyone in your practice must only use your EHR in the Chrome browser and must have the Adit for Chrome browser extension installed and running at all times.

The integration works using three distinct data syncs: 
  1. an initial database sync, which pulls all of your patient and appointment data into Adit,
  2. an ongoing, real-time sync, which pulls any changes that you make to your patient or appointment data into Adit as they are made.
  3. an ongoing, hourly backup sync, which pulls any changes that were missed by the real-time sync.

Initial Integration Setup

When you set up your integration, you will install the browser extension on one workstation and start the initial data sync. This sync may take 5-7 days to complete. You will also immediately install the browser extension on the rest of your workstations to ensure that changes made on those workstations can be synced to Adit in real time, even while the initial sync is processing in the background.

Before starting the initial sync, please keep the following important points in mind:
  1. A user with admin-level permissions must be logged in to your EHR before installing the Adit browser extension and starting the initial sync.
  2. The initial data sync will take 5-7 days to complete. During this time:
    1. The EHR window can be minimized, but cannot be closed.
    2. The computer must remain powered on and active. It cannot go to sleep, have the screen locked, or be logged off.
    3. Your internet connection must remain stable for the entire duration.
    4. The user who logged in to your EHR and started the sync cannot log in to any other workstation with the same user account. Ascend does not allow the same user to be logged in to multiple devices at the same time. If this is a problem for your team, we recommend creating a new user in your EHR and logging in with that account to start the initial sync.
    5. You can continue to use your EHR and the workstation normally while the initial sync is running in the background.
  3. Your EHR may normally timeout after 10 minutes of user inactivity; our sync will intentionally stop this from happening to preserve the integrity of your data.

Any failure to comply with the above points will cause the sync to fail and require you to re-start it again from the beginning.

We strongly recommend installing the Adit for Chrome extension on all of the workstations in your office to ensure there are no data discrepancies. The real-time sync only works when the Adit for Chrome extension is installed and running on the workstation, so that it can pick up changes made on that workstation in real time.

If you do not install the Adit for Chrome extension on all of your workstations, any changes made on a workstation without the extension will take an hour or more to sync, causing delays, data discrepancies, and interruptions to your automations (such as appointment reminders, patient forms, online scheduling, and more). In addition, there are currently two specific actions that will not sync at all if done on a workstation without the extension installed:
  1. Deleting an appointment
  2. Creating a new patient with a common name
Both of these actions will sync to Adit properly when done from a workstation that has the Adit for Chrome extension installed and logged in.

Once you have installed the Adit for Chrome extension on all of your workstations, you can work as normal while the initial sync continues in the background. Any changes made in your EHR on a workstation with the Adit for Chrome extension installed will be synced to Adit in real time.

Normal Daily Operation

Once the initial sync is complete, daily operation of the integration is very simple. As your team works in your EHR, the Adit for Chrome extension will pick up any changes they make and sync those to Adit.
Any workstations that have the Adit for Chrome extension installed and properly logged in will sync any changes they make in your EHR to Adit in real time. Workstations that do not have the Adit for Chrome installed or properly logged in will still have their changes picked up and synced, but there will be a delay before that data is visible in Adit as this backup sync is only done once per hour.
